4. What happens when you fill out a form?
Our website is primarily intended for professionals: executives, human resources managers, marketing directors, employee representatives, institutions, local governments, and other professionals who may be interested in our research and services.
When you fill out a form to contact People Vox, request a quote, schedule an appointment, or download a resource, we use the information you provide to respond to your request and follow up on it.
We may also use your professional contact information to occasionally send you information related to your business and People Vox’s areas of expertise, such as:
-
our news;
-
our studies and publications;
-
our new guides or white papers;
-
our articles and methodological content;
-
invitations to events or webinars;
-
information about our services and solutions.
These communications are intended for a professional audience and are related to the professional roles or interests that led to your interaction with People Vox.
Electronic marketing directed at professionals may be based on legitimate interest when the subject matter of the communication is related to their profession, provided that individuals are informed of this and have a simple and free means to opt out at the time of data collection and with each subsequent communication.
You may therefore object to the use of your contact information for commercial communication purposes at the time of collection or at any time thereafter.
Every electronic communication sent by People Vox includes a mechanism that allows you to unsubscribe.
We intentionally limit the frequency of our communications. People Vox prioritizes occasional, relevant communications over frequent solicitations.
5. Downloading Resources and Marketing Follow-Up
Downloading a white paper, guide, study, or other resource indicates an interest in a topic covered by People Vox.
When you download a resource, we may use the business contact information you provide:
-
to send you or provide access to the requested resource;
-
to send you other content related to the topic in question;
-
to contact you to better understand your needs or to introduce you to a People Vox service that may meet them.
This follow-up may take the form of an email sent by a member of our team. We do not use the fact that you downloaded a resource to send you communications unrelated to your professional activity or the areas in which People Vox operates.
You may opt out of these communications at any time.
6. Newsletter Subscription
When you specifically subscribe to our newsletter, the processing is based on your consent. Your email address is then used to send you news, analyses, studies, resources, events, and information related to People Vox’s activities.
You may withdraw your consent at any time by using the unsubscribe link included in each communication.
Withdrawing your consent does not affect the lawfulness of processing carried out prior to your withdrawal.
7. Do we use cookies and other trackers?
Our website uses various tools to enable its operation, measure its audience, and—with your consent where required—analyze the effectiveness of our marketing and advertising efforts.
In particular, we may use: HubSpot and HubSpot Analytics; Google Analytics 4; Google Tag Manager; Google Ads; LinkedIn Insight Tag; Meta Pixel.
Some trackers are strictly necessary for the website to function or to remember your preferences.
Other trackers, particularly those used for non-exempt audience measurement, advertising, or retargeting, are only activated after you provide your consent when required.
The CNIL notes in particular that trackers used for advertising purposes generally require prior consent and that a refusal must prevent their placement or reading.
You can accept, refuse, or configure these trackers using the HubSpot cookie manager available on our website. You can change your selection at a later time.
8. What tools do we use to manage your data?
HubSpot
Data submitted via the website’s forms is stored in HubSpot, which People Vox uses, among other things, to manage contact records, qualify inquiries, and create contact segments.
HubSpot offers regional hosting of its accounts within the European Union, specifically in Germany. However, the actual location of the account depends on the configuration of the People Vox account.
HubSpot also notes that certain limited processing activities, certain usage data, or certain processors may be located outside the primary hosting region.
Brevo
People Vox uses Brevo to manage certain mailing lists, send newsletters and other electronic communications, and handle unsubscribe requests.
Brevo states that the servers on which its databases are processed and stored are located within the European Union, specifically in France, Germany, and Belgium.
9. With whom do we share your data?
Personal data is accessible only to individuals and service providers who need it for the purposes described in this policy.
In particular, it may be processed by:
-
People Vox’s sales and marketing teams;
-
individuals authorized to administer the website;
-
HubSpot, for managing the website, forms, and contacts;
-
Brevo, for managing and sending electronic communications;
-
audience measurement and advertising providers such as Google, LinkedIn, or Meta, when the corresponding trackers have been authorized;
-
technical service providers necessary for the hosting, maintenance, and security of the website.
People Vox does not sell the personal data of its prospects and does not share its contact lists with business partners for their own marketing purposes.
However, we may be required to disclose certain data when a legal obligation requires us to do so or at the request of a competent administrative or judicial authority.
10. Is data transferred outside the European Economic Area?
People Vox prioritizes service providers and configurations that allow data to be hosted within the European Union whenever possible. However, some of the service providers we use are international groups or may engage subcontractors located outside the European Economic Area.
When processing involves the transfer of personal data to a country outside the European Economic Area, People Vox ensures that the transfer is governed in accordance with applicable regulations, including, depending on the situation, an adequacy decision by the European Commission, standard contractual clauses, or any other appropriate safeguards provided for by the GDPR.
11. How long do we retain your data?
People Vox does not retain personal data for longer than is necessary for the purposes for which it is used. Data relating to a prospect is generally retained for a maximum of three years from the date of collection or the last contact initiated by the prospect. A new active contact from you with People Vox may therefore trigger a new retention period. Data necessary to comply with an objection to marketing may be retained separately to prevent a person who has requested to no longer be contacted from being added back to a mailing list.
The CNIL recommends retaining only the information strictly necessary for this opt-out list for at least three years. When certain data must be retained to comply with a legal obligation or to enable the establishment, exercise, or defense of legal rights, it may be archived for the period strictly necessary for that purpose.
12. What are your rights?
In accordance with applicable regulations on the protection of personal data, depending on the specific processing activities involved, you may exercise:
-
your right to access your personal data;
-
your right to rectification when your data is inaccurate or incomplete;
-
your right to erasure in the cases provided for by the regulations;
-
your right to restrict processing;
-
your right to object to certain processing activities based on legitimate interests;
-
your right to data portability when the legal conditions are met;
-
your right to withdraw your consent at any time when processing is based on consent.
With regard to marketing communications, you may exercise your right to object at any time, without having to provide a reason.
You may exercise your rights:
By email: rgpd@people-vox.com
By mail: People Vox – GDPR Officer, 8 rue de Vidailhan, 31130 Balma (France)
To protect your data, we may ask you for additional information to verify your identity when there is reasonable doubt.
You also have the right to file a complaint with the French Data Protection Authority (CNIL) if you believe that the processing of your personal data does not comply with applicable regulations.
13. How do we protect your data?
People Vox implements appropriate organizational and technical measures to preserve the confidentiality, integrity, and availability of the personal data it processes and to restrict access to only authorized individuals. We also select our service providers based on the data protection and security safeguards they provide.
14. Changes to the Privacy Policy
This Privacy Policy may be amended to reflect changes to our website, our practices, the tools we use, or applicable regulations.
The date of the last update at the top of this page indicates the currently applicable version.
In the event of a substantial change affecting how we use your personal data, we will take appropriate measures to notify you when necessary.
